Circulation Policy
 
 

The Regent Carey Library is jointly owned by Regent College and Carey Theological College, and houses a growing collection of over 100,000 monographs, video and audiotapes, and over 450 periodical subscriptions. The collection is searchable on an on-line catalogue, and the circulation system is also automated, providing efficient check out, renewals, and holds. Online access to the catalogue and circulation functions is available through the library's catalogue site at library.regent-college.edu. Online indexes and databases, as well as CD-ROM and print indexes are available to be used in the Library. Many online databases are available through the UBC library website with a valid UBC library card.

As a Library member, you are responsible to understand and follow the Library policies outlined below. These policies are designed to provide you with the best possible service, and prompt access to the materials you are sharing with many other borrowers. Please take a few moments to read through this material.

Membership

  • Free for current Regent/Carey students, faculty, staff, and alumni/ae (having at least 20 Regent credits on transcript)
  • Free for UBC students, faculty, and staff, with valid UBC library card
  • Free for VST, St. Mark's and TWU graduate students, faculty, and staff, with proof of affiliation
  • Paid memberships are available for $70/year (any 12 month period) to anyone who does not fit into one of the above categories (seniors price $35).

Your library card must be presented for all circulation transactions. Since you are responsible for all materials borrowed on your record, this requirement helps to ensure your own security. There is a replacement charge of $5 for lost cards.

**Please keep your email address, as well as your home address and phone number current through the link "My Library Record" on the library catalogue. This will ensure that you receive automated courtesy notices 3 days prior to the due dates of materials you have checked out.

**Please note: Materials may be returned through the book return bin when the Library is closed; this is located at the south building entrance (parking lot).


Inter-library Loans

If you have a UBC Library card and you need a book or article which we do not have, you may request it through inter-library loan. Before requesting materials through Inter-library loan, you are required to check all of the following locations: Regent Carey Library, Vancouver School of Theology online catalogue, St. Mark's catalogue, UBC online and card catalogues. This may require a fair amount of time and effort on your part, so you should only do this is if the item in question is something you have a strong need for.

To submit your inter-library loan request, you must fill out an online form. Click here for more information.

Delivery time depends on whether it's available at the supplying library. Some items can arrive as quickly as 3-5 days. In general, please allow 1-2 weeks for your ILL request to be filled.

Normally, this service is free to Regent students, but if special costs are involved in obtaining an item, the student will be contacted. Special costs must be paid by the student.

Items which have come in must be picked up by the student at Koerner Library on the UBC campus, and returned to the same location.

 


Renewals

To renew your loans:

  • go to the RCL catalogue page at library.regent-college.edu
  • click on "My Library Record"
  • type in your last name, then first name
  • type the entire number on your RCL card (beginning with 05221...)
  • click on the hyperlinked notice (e.g. "3 items currently checked out") to view the titles you currently have checked out
  • check the box beside the title of the item you want to renew
  • click on the button "Renew items" to complete the transaction
  • click the Log Out button on the top menu when you have finished all transactions in your record.

    To view other information on your record:
  • click on any of the hyperlinked notices to view the information for that note (e.g. "You currently have 2 requests (holds)" or "$2.00 in unpaid fines and bills")

You are responsible to return or renew your loans by the due date. Since items which have been placed on hold by another borrower may not be renewed, we suggest that you renew your loans a day or several days before they are actually due, in order to provide enough time to return them if necessary.

Please note that failure to receive reminders from the Regent Carey Library by email will not excuse the borrower from late charges.


Overdue Charges

Our collection is heavily used, and overdue materials are a source of frustration to other borrowers if they cannot obtain what they need to meet their own deadlines. For this reason, overdue charges are levied, as follows:

A balance owing which is less than $9.99 does not have to be paid in order for you to continue to borrow or renew materials. Once your balance reaches $10, however, this amount must be paid in full or reduced to below $10.00 in order to resume borrowing privileges. All fines must be paid in full before you graduate.

If any item becomes overdue by more than 3 notices, the item is considered lost and replacement charges are levied (see below).

 

Charges for Lost or Damaged Materials

Academic library materials are expensive, and they are loaned to you with the understanding that they will be returned, and returned in the same condition in which they were lent. Replacement charges will be assessed for reasons such as lost or broken materials, highlighting in or otherwise defacing books, water damage, or failure to return materials. Charges usually amount to a replacement cost of $50.00 for a book (higher for more valuable items) plus a $25.00 processing fee.


One last note ...

While you are in the Library, please help to foster a quiet study atmosphere by:

  • speaking as quietly and as little as possible in study areas
  • keeping all food outside the library
  • keeping coffee, tea, and water in spillprof, travel mugs (no juice or pop allowed)
  • turning off your cellular phone or beeper before entering the Library, unless you are required to be on emergency call.

Reference Service Policy
 
I. The Purposes Served by a Reference Service Policy

A. It sets service priorities
B. It establishes standards and levels of service
C. It can inform users of the services they can expect
D. It is useful in training new staff members

II. Reference Service Priorities

A. The highest priority is placed on serving patrons who are in the library, needing assistance in locating the information and materials they are seeking.

B. Students and faculty will be assisted on a first-come, first-served basis. Preference will not be given to one class of patron over the other.

C. Patrons seeking assistance over the phone or through e-mail will be served as time allows, at a lower level of priority in relation to patrons in the library.

III. Reference Service Standards and Levels

A. Standards of Service

1. Collections
The Regent Carey Library will establish and maintain a collection of books, periodicals, and reference works which are of sufficient quality and quantity to meet the academic needs of the students and faculty.

2. Electronic resources
The Library will provide for its users electronic tools which will assist them in locating appropriate resources efficiently. These tools will include: 1) an Online Public Access Catalog (OPAC), which indexes the Library's holdings, 2) the American Theological Library Association's Religion (ATLA) Database, 3) Religious and Theological Abstracts, 4) the Wabash Center Guide to Internet Resources for Teaching and Learning in Theology and Religion, 5) the Theological Research Exchange Network (TREN), 6) access to a wide range of electronic resources at the University of British Columbia and Vancouver School of Theology, 7) other electronic resources (some of which may only beavailable in the Regent Carey Library) may be added in the future as appropriate.

3. Staff competencies
The Library will hire and train staff members who will be able to provide effective assistance to the Library's patrons. Effective assistance requires, at a minimum, a general knowledge of the collections and the electronic resources. At a higher level, advanced assistance will be provided by staff members who have pursued graduate studies in theology, religion, or related fields.

B. Levels of Service

1. Ready reference questions
The Library staff will be prepared to answer, or assist the patron in answering, simple factual questions.

2. Basic individual instruction in the use of electronic resources
The Library staff will be prepared to offer patrons basic instruction in how to search for resources using the OPAC, the religion databases, and the Internet. This instruction will involve making a preliminary assessment of the patron's knowledge level in these tools, and will normally involve working with the patron for 3-15 minutes.

3. Bibliographic instruction
When pedagogical circumstances warrant, bibliographic instruction sessions will be arranged for particular classes. These sessions will normally last for 1-3 hours.

4. Advanced assistance for students writing theses
Advanced assistance will be provided to students writing masters theses. This assistance will be offered by the Public Services Librarian, and will include "brainstorming" with regard to thesis topics, development of the thesis bibliography, and feedback on the written proposal.
